How much does IT outsourcing cost for a company? Price list and comparison rules

The price of IT support depends not only on the number of users, but also on the scope of administration, support window, SLA, infrastructure and works excluded from the subscription. We compile current NexaIT prices and show you how to compare offers on a common basis.

There is no single market price for IT outsourcing. Two offers with a similar subscription may include different working hours, number of devices, server administration, visits, licences and project settlement rules. Therefore, you need to compare the range first and only then the amount.

What influences the cost of IT support

The most important are:

  • number of users, computers, servers and locations;
  • environment type: cloud services, local servers, network, production devices;
  • support window and expected response times;
  • scope of monitoring, updates, backups and documentation;
  • number of hours of administrative work included in the subscription;
  • on-site visits, on-call duties and service outside standard hours;
  • third-party licences and services;
  • projects, migrations and equipment purchases settled outside of ongoing care.

The "per user" price without describing these elements is not sufficient to evaluate the offer.

Response time is not repair time. It means accepting a request and starting diagnosis within the support window of a given package. The clock starts when the ticket is registered in the helpdesk channel. The service restoration target, exclusions and dependencies on third parties should be read separately.

What each level covers

START IT

The package is intended for micro-enterprises. Includes, but is not limited to, a remote helpdesk within reasonable use, basic station monitoring, updates, Microsoft 365 or Google Workspace administration, monthly copy verification, and a monthly report. Includes four hours of administrative work per month.

BUSINESS IT

The scope extends the START IT package with proactive RMM monitoring, copy management, single server administration, basic network configuration, dedicated technical supervisor and quarterly environment review. The package includes eight hours of administrative work per month.

PROFESSIONAL IT

The suite includes multi-server environments, more complete network management, quarterly recovery testing, updated documentation, one site visit per quarter and status meetings. Includes 16 hours of administrative work per month.

ENTERPRISE IT

This option is intended for organisations where IT is part of the operational process. It includes, among other things, round-the-clock critical reports, participation in technological decisions, dedicated engineer with substitutability and SLA with contractual penalties set in the contract. Includes 30 to 40 hours of administrative work per month.

Subscription and hourly billing

The subscription makes budget planning easier and can combine ticket handling with preventive work. However, it does not automatically mean that every activity and every failure is included in the price. You need to check the administrative work limit, the definition of reasonable use, surcharges and the list of projects billed separately.

Hourly billing may be sufficient for a company with a simple infrastructure and occasional needs. The cost becomes less predictable, and monitoring or prevention requires a separate order. The choice should be based on the frequency of need, the cost of downtime and the level of responsibility required, rather than the belief that one model is always cheaper.

The standard NexaIT rate is currently PLN 220 net per hour of helpdesk and general support and PLN 280 net per hour of specialist administration. The rules of minimum charging and surcharge for work outside working hours apply, as described in the current price list.

Outsourcing and your own IT employee

A fair comparison should cover the same scope and availability time. On the full-time side, you should include remuneration, mandatory employer costs, tools, equipment, training, replacement and recruitment. On the outsourcing side, you need to take into account subscription, onboarding, licences, out-of-scope projects, travel and possible additional payments.

An in-house employee may be the right choice when the organisation needs a permanent presence, knows the scope of full-time tasks and is able to provide a replacement. An external team can be beneficial when the needs span several specialties but do not justify building an entire department. Some companies combine both solutions: the internal coordinator is responsible for business priorities, and the external partner is responsible for the agreed technical areas.

Questions to ask before comparing offers

  1. What exactly does the subscription cover and what is an additional project?
  2. How many hours of work are included and how are overruns settled?
  3. How does the vendor define priority, response time and restoration target?
  4. What are the opening hours of the helpdesk and which events are handled 24 hours a day?
  5. Are visits, travel, licences and devices included in the price?
  6. What does substitution, escalation and customer access to documentation look like?
  7. What is the minimum contract period, onboarding cost and termination procedure?

Frequently asked questions

Is there an unlimited number of entries?

In NexaIT packages, the remote helpdesk operates without a limit on the number of tickets, but within reasonable use limits. Administrative work has a limit on hours, and implementations, migrations and other projects may be priced separately. Details are specified in the offer and contract.

Does support work at night and on weekends?

It depends on the package and the priority of the request. START IT and BUSINESS IT have specific working windows on working days. PROFESSIONAL IT provides weekend duty for P1, and ENTERPRISE IT handles critical calls 24 hours a day. P1 duty should not be equated with a full 24/7 helpdesk.

Does the administrator need to see all company data?

No. Authorizations should be specific to specific tasks and limited according to the principle of least privilege. If a supplier processes personal data on behalf of a customer, the parties should establish roles and, where required, enter into a data processing agreement. Administrative access alone should not mean uncontrolled access to all business content.

How to get a comparable quote
