Gemini for Business: AI in Google Workspace

Gemini extends selected Google Workspace applications with content generation, summarization and analysis functions. We discuss practical applications, limitations, licences and principles of safe implementation in the company.

Gemini can support work in selected Google Workspace applications, including news editing, document summarization and data analysis. However, it is not an error-free employee or ready automation of every process. The scope of functions depends on the service edition, administrator settings, language and schedule for sharing changes.

What is worth checking before implementation

Google is developing Gemini features rapidly, so the list of capabilities from an older article or presentation may be out of date. Before purchasing or starting a pilot program, check:

  • whether a given function is available in the edition used Google Workspace;
  • whether the administrator can manage it;
  • does it support Polish language;
  • what data it has access to and where it saves the result;
  • what limits and terms of use apply to a given plan.

Current range must be confirmed in Gemini documentation for Google Workspace and in the administrator console. Gemini features are available in various Business and Enterprise editions, but not every edition provides the same set of capabilities.

Gemini in Gmail

Depending on the plan, language and configuration, Gemini can help you create replies, change the tone of messages, summarize threads and find information in correspondence.

The most benefits usually come from repetitive tasks: preparing a first draft of a response, shortening a long thread, or organising a client's questions. Before sending a message, you need to check recipients, numbers, deadlines, commitments and attachments. The model may make a compelling statement that is not supported by the correspondence.

Gemini in Google Docs

In Documents, Gemini can support drafting, summarizing text, changing style and working with materials available to the user. It works well for documents with a repeatable structure, such as a project note, agenda or the first version of a service description.

You should not rely on the model to independently approve contracts, regulations or legal advice. In such materials, the generated text requires inspection by a person with appropriate competences and comparison with source documents.

Gemini in Google Sheets

Gemini can help you create formulas, organise data, prepare tables, and identify patterns. This is useful support for the initial analysis of repeated sets, provided that the input data has a consistent structure.

Every formula and interpretation must be tested. Cell ranges, filters, date formats, blank values, currencies, and billing data require special control. The generated graph may be technically correct and yet lead to an incorrect conclusion.

Meeting notes in Google Meet

"Take notes for me" feature can create meeting notes and save them to Google Docs. Its availability depends on, among other things, the Workspace edition and the supported language.

By current "Take notes for me" language list Polish is not currently supported. The list is subject to change, so be sure to check Google documentation before planning a process based on automated notes.

Participants should know that the feature is active. The completed memo requires review, especially if the conversation includes proper nouns, industry abbreviations, multiple languages, or financial arrangements.

Google Drive searches and summaries

Gemini can help find and summarize information from files you have access to. The quality of the response depends on the quality of the documents and the correct configuration of permissions.

AI does not fix excessively wide access. If an employee sees a document they shouldn't see, the search function can make it easier to find that information. Before implementation, it is worth reviewing groups, shared drives and sharing rules.

Data security

Google describes security measures and how an organisation's data is used in Gemini FAQs in Google Workspace. However, the terms of service do not release the company from its own obligations.

Before enabling a feature for employees, you should:

  1. Determine permitted and prohibited uses.
  2. Verify permissions for data in Drive and groups.
  3. Define the rules for working with personal, confidential and trade secret data.
  4. Require checking of results before submitting or publishing them.
  5. Enable appropriate logging, alerts and access controls.
  6. Train users to recognise model errors and phishing attempts.

How to measure real benefit

There is no universal number of hours that Gemini will save in every company. The result depends on the process, data quality, employee skills and time needed for verification.

It's best to choose one repeatable task and compare:

  • execution time before implementation and during pilot;
  • number of fixes and bugs;
  • time needed to check the result;
  • percentage of cases where the feature actually helped;
  • response from users and recipients of the result.

If checking the generated content takes longer than completing the task using the current method, the use case should not be scaled.

Safe Piloting Plan

  1. Select a non-sensitive process. Editing internal agendas or summarizing marketing materials might be a good place to start.
  2. Check licence and settings. Confirm feature availability for your domain and edition.
  3. Organise permissions. Remove unnecessary access before enabling AI-powered search.
  4. Establish verification rules. Every result sent to the client should be approved by a human.
  5. Measure quality and time. The pilot should end with a decision based on results, not impressions.
  6. Expand gradually. It is worth adding another process only after removing the problems detected in the first stage.
